How To Set Up Email In Outlook 2016 Or Microsoft 365
Email Set Up – This guide takes you step-by-step through the process of setting up a new email account in Outlook 2016 or Outlook for Microsoft 365.
If the Mail account is already set up, but giving errors – then refer to our troubleshooting guides for Outlook 2016 or Office 365.
1. Open Outlook.
2. On the top left menu bar, choose File.
3. Select the middle-of-the-screen Add Account button, then Account Settings.
4. Please enter your email address here.
5. Select Advanced options, then Advanced Options, then Advanced Options, then Advanced Options, then Advanced options Allow me to manually set up my account > Connect
6. This is a temporary display screen.
7. This screen will display the various account options – select POP or IMAP
8. Server Settings: (Note that you may not be able to change server settings at this time in some versions of Outlook.) Complete the account setup and then verify your server settings by navigating to File > Info > Account Settings submenu > Server Settings in certain circumstances.
- Incoming mail: prefix your domain name with mail., for example, mail.example.co.za*
- 993 is a port on the internet (or 995 for POP)
- SSL/TLS encryption technique
- Secure Password Authentication (SPA) is not required for logon.
- Add smtp. before your domain name, e.g.smtp.example.co.za*, for outgoing mail.
- Set the port to 465. (not 25)

9. Connect by clicking the button.
10. You’ll be asked for your password now.
11. Your setup is complete!

* Note: that mail.domain (e.g. mail.example.com) and smtp.domain may not function in some circumstances. Instead, use the server name, such as www34.cpt1.host-h.net in these circumstances. Look up the name of my server.
